How To Book

Thank you for your interest in our tours!

Here are the simple steps to book your tour with us:

STEP 1: Check for Availability. Fill out our Availability Form or Contact Us with your dates and the number of travelers in your group. We will check the dates and get back to you right away.

STEP 2: Payment. When your spaces have been confirmed, and the final price quote have been provided, please proceed with your payment using our Secure Online Payment System. We accept Visa and Mastercard. Upon providing your payment details it’s understood that you are in agreement with our Terms & Conditions. For Day-Tours full payment is required at the time of booking, for Multi-Day Tours a 20% deposit at the time of booking and the remaining balance 1 month before the start of the tour.

STEP 3: Confirmation. Once your credit card has been processed we will send you a confirmation E-mail to let you know that your reservations are in place.

Tour Cancellation & Refund Policies

In the unforeseen event that you have to cancel a tour with us, below are the policies that will apply.

Day Tours

  • If your tour with us gets cancelled due to bad weather in Panama you will be fully reimbursed.
  • If you make your cancellation with 8 days or more in advance, we will refund all moneys less a 5% handling fee.
  • If you cancel your tour between 3 business days to 7 days prior to the start of the tour, a 20% cancellation fee will apply.
  • There will be no refunds for cancellations made within 48 hours prior to the start of the tour. If this is the case, we will give you a 1 year credit to take the tour during that time frame.

Multi-Day Vacations

  • If you make your cancellation with 30 days or more, we will refund all moneys less a 5% handling fee.
  • If you cancel your tour between 15 and 29 days prior to the start of the tour, a 20% cancellation penalty will apply.
  • There will be no refunds for cancellations made within 14 days prior to the start of the tour. If this is the case, we will give you a 1 year credit to take the tour during that time frame.

Purchasing travel insurance to protect your investment is a valid option for this type of tours.

All Tours

  • There will be no refunds if a participant cancels the tour at any point after its start. A no refund policy also applies to a participant arriving late to a tour or leaving early.
  • “No Shows” are non-refundable.
  • If a guest is not present or on time for their scheduled pick-up time they will be considered a “No Show.”
  • We will not issue refunds for flight delays, missed flights, cancelled flights, traffic delays, or any other circumstance beyond our control.
  • We are not responsible for any additional expenses that may be incurred by a guest in relation to a cancelled tour, including costs incurred due to travel delays, flight cancellations, sickness and non-refundable air tickets and/or any penalties associated with such tickets.

Airport Transportation

Reservations for Airport Transportation must be cancelled 48 hours or more prior to your scheduled pick-up time or originally scheduled flight arrival time to qualify for a refund. Cancellations made less than 48 hours are non-refundable. Services may be rescheduled.

Terms & Conditions

  • In order to be eligible, participants must be at least 18 years old or be accompanied by a legal guardian and meet the physical conditions required for the selected tour.
  • We are not responsible for the actions of each participant or its consequences if they are not within the schedule established in the tour.
  • All guests are required to follow the instructions given by the guides.
  • We reserve the right to cancel a tour. In this highly unlikely situation, the participant will receive a full refund.
  • We reserve the right to reroute any tour due to acts of nature, trail conditions or unforeseen circumstances that would hinder our ability to run a trip.
  • We reserve the right to cancel the tour for any participant causing problems.
  • If a local agency or person fails to provide a service for which it was hired within our tours, alternative services of equal or superior value will be provided.
  • Each participant must be aware of the adventurous nature of some of our tours and must be willing to assume the risks that this implies.
  • We take all the precautions necessary to minimize the risk of accidents, but given that it is impossible for us to eliminate all the possibilities of having them occur, Xplora releases itself from any responsibility over them.
  • We are not responsible for the loss or damage of any personal belongings.
  • Local air tickets are not refundable by the airlines, however, they are active for a period of three months in case you are able to reschedule your dates.
